Free job sheet template UK
A worked job sheet that records one visit in plain words. What was done, what was found, what was used, what was photographed and what the customer signed. The app has no printed job sheet document, so this one is written by hand and checked against the app's own job data.
All names and addresses below are invented examples. They are marked as examples so no real person or firm is named.
- Isolated kitchen circuit at consumer unit and proved dead at sockets.
- Chased 6 metres of wall for two new double sockets above worktop, left 100 mm from corner.
- Ran 6 mm² cable from ring to new points, clipped and capped, made good with bonding.
- Fitted two double sockets and one spur for integrated fridge, continuity tested.
- Left circuit on existing RCBO, customer advised full test at second fix.
- Existing back box behind cooker cracked and loose, replaced.
- No earth sleeve on one leg of old ring. Sleeved and tagged.
- Consumer unit has spare way for new circuit, no upgrade needed.
- No access to run under floor today due to stored materials, reroute agreed.

Job ID JS-089 links to quote QT-1042 and invoice INV-2041. Times, notes, costs and photos live on the job in the app. This sheet is the paper copy of that record.
This sheet matches the app's own job data. The job holds the times, the notes, the costs and the photos. The cost lines and the hours add to the invoice and the timesheet, and the photos are the ones on the job.
What to put on a job sheet
A job sheet that stands up later needs these fields:
- Your business name and contact
- A job sheet number with date and start and finish time
- The client name and site address and job title. Include quote and invoice numbers where they exist.
- The operative name
- What was done step by step in plain words
- What was found that was not expected including safety points
- What was used with item and quantity so the cost record can be checked
- What was photographed with a short caption per photo
- Health and safety notes where work involved isolation and access and making good
- A customer sign-off with name and signature and date
Time on site is shown after the break. Materials on the sheet match the job costs in the app so the two cannot differ.
What the law says
A job sheet is not a legal form, but three duties sit behind it:
- A record of the work. The Consumer Rights Act 2015 says services must be done with reasonable care and skill and within a reasonable time. A job sheet that shows what was done, when and by whom is the record you rely on if the scope is later questioned.
- Safety notes. Gov.uk on construction and the Electricity at Work Regulations require safe isolation and testing before and after electrical work. Where you isolated a circuit, proved dead and tested, write it. Those words are part of the safety record.
- Photos and personal data. A photo of a customer's home is personal data. The ICO on UK GDPR says you need a lawful basis to keep it. For a job sheet that basis is normally performance of the contract, and you should keep only what the job needs, store it securely on the job and remove it when it is no longer needed. Do not include payment card details on a job sheet.
This is general information, not legal advice.
How to use it
Fill the sheet on site before you leave. Write what you did while it is in front of you. Take the photos with the phone and add them to the job in the app. Record materials as job costs and let the hours carry to the timesheet. Send the customer a copy from the job's share. Their signature on the link or on paper closes the visit and starts the next step, which is the invoice.
Questions
Does the job sheet create the invoice?
No. The job sheet is the record of one visit. The invoice comes from the job when the work is done, with the lines you have already priced. The sheet feeds the job's costs and hours so the bill adds up.
What photos should I take?
Before and during and after that prove the state you found and the work you did and the state you left. Isolation point and cable run before making good and the finished fitting are the ones that matter most. Keep captions short.
Can I use this for a multi-day job?
Yes. Use one sheet per visit with its own date and times, all linked to the same job number. The app keeps multi-day jobs on the diary and each day's hours carry across.
Is a paper signature needed?
A signature on the customer's page is enough where the customer opened the link. On paper where there was no signal, keep the paper and add a note to the job in the app so the record is in one place.
