The bill comes from the job
A bill is the ask for the money. It carries the job, the lines, the figure, the due date and a link the customer can open. In YellowTradie it comes from work you have already priced and done.
What it does
An invoice holds the customer, the job, the lines and the money. It shows the job. It also shows the money paid and the money still owed. You can send it as a PDF with a message and a link. The customer opens the link to read the bill. While it is unpaid and unsigned, they can confirm the work is done there. You record the money when it arrives. The balance falls.
Who it is for
It is for the trader who has finished work and needs the money. One person and one phone. It suits the job that needs a proper bill: a business customer, a landlord, a customer who wants the VAT shown, or anyone who asks for a copy.
How it works
- Raise the bill. From an accepted quote with Invoice it. From a finished job with no bill. Or from scratch, with a customer name, a job title and an amount.
- Check it. A draft can be edited. The lines, the VAT, the due date, the payment note and the bank details you have set are all on the document.
- Send it. The message box opens with your template. Share sends the PDF and the link. The bill becomes Sent and its due date starts.
- The customer reads it. The link shows the bill, what has been paid, the balance, your bank details and your payment note. They can confirm the work is done there. A name and a signature are optional.
- Record the money. Record payment takes the amount and the method. It also takes the date. Part payments are kept and the balance follows.
- Chase what is left. Chase invoice appears when the bill has been sent and money is still owed. The message asks for the balance, not the original total, and it carries the link.
The chain
The quote is the price the customer agreed. The job is the work that followed, and the bill asks for the money.
A bill can come from an accepted quote, or from a finished job. It can also be typed from a blank form. A bill made from a quote keeps that quote's lines and the job's customer. The job keeps the quote. Open the job and you can reach the bill from there, and open the bill and you can see the job it belongs to.
The customer's link is the other end of the chain. They open it to read the bill and, while it is unpaid, to confirm the work. The link is a code, not an account, and it needs no password.
What it does not do
- It does not take a card on the customer's link. The customer pays you directly. The message carries the bank details and reference you have set, and you record the payment.
- It does not send itself or chase itself. You send the bill, and you send the chase.
- It does not file a VAT return with HMRC.
- It does not let you edit a bill after it has been sent. Edit invoice is on a draft only.
- It does not treat a part payment as a full one. The paid figure and the balance both stay on the bill.
- It does not list an unfinished job in the bill's job picker. That picker offers finished jobs with no bill. A bill from scratch needs a customer name and a job title. It also needs an amount.
Questions
Can I take a deposit on a job?
Yes. A deposit is set on the quote, and the customer sees the deposit and the balance when they approve it. The app can raise the deposit bill from the accepted quote on Today. The balance is what is left when the work is done.
Can the customer pay on the link?
No. The link shows the bill and your bank details. It does not take a card. The customer pays you directly and you record the money.
What if they pay part of it?
Record the amount they paid. The bill shows the money in. It shows the balance and the word that matches. The rest can be paid later.
When does a bill become overdue?
After its due date, and only once it has been sent. A draft has promised nothing to the customer, so it cannot be late.
Can I change a bill after sending it?
No. Edit invoice is a draft's row. Once a bill has gone to a customer, the way to correct it is to record what actually happened and speak to them.
What does the customer see?
The bill, the lines, the VAT, the total, what has been paid, the balance and the due date. The bank details and payment note you have set are under the amount, and the sign-off box is below them while the work is unpaid and unsigned.
Does it file VAT with HMRC?
No. It keeps the VAT on the bill and in your records. Filing is done through HMRC, not from this app.
